Committee Job Roles
President - A club president is the primary leader of a club, responsible for its administration and ensuring that it meets its goals.
a) The President/Chairperson shall be a member of the Club with at least two years standing as a financial member of the Association. b) The President/Chairperson upon application to the Committee shall be refunded any "out of pocket" expenses incurred where possible submitting receipts of expenses. c) The President/ Chairperson ensure meetings are to run efficiently and effectively. d) Act as a signatory for the Club in all legal and financial purpose. e) Regularly focus the committee's attention on matters of Club governance that relate to its own structure, role and relationship to any paid employees. Periodically consult the Committee members on their role, to see how they are going and help to optimise their contribution. f) Work with the committee to ensure; (i) The necessary skills are represented on the committee and that a succession plan is in a place to help find new committee members when required. (ii) Goals and relevant strategic and business plans are developed in order to achieve the goals of the club. g) Serve as a spokesperson for the club when required. Communicate regularly and systematically with the Presidents of the member Clubs, the league, association and parent body. h) Assist in the development of partnerships with sponsors, funding agencies, local and state government, shared facility users and organisations that are relevant to the goal of the club.
VP - The role of the Vice President is to shadow the President in providing leadership and responsibility for the organisation and the committee and to step into the President role where needed. It is often considered that the Vice President and that this role is in Preparation.
a) The Vice President shall perform the duties of the President/Chairperson in his or her absence. b) Be a person who can develop good relationships internally and externally. c) Have a good working knowledge of the club constitution, rules and duties of office bearers. d) Coordinate club planning to ensure appropriate plans are developed, presented to and reviewed by the committee, and enacted as required.
Treasurer-The role of the Treasurer is to be responsible for the financial supervision of the Club to allow the committee to provide good governance. The Treasurer is responsible to regularly report on the club's financial status to both the committee and the club members.
a) Receive and take charge of all the monies of the club and online financial transactions. b) Keep a true correct amount of all monies received and expended by the club c) Prepare and submit to the auditor a statement of receipts, expenditure and balance sheet for the auditing purpose and submit the same to the annual general meeting or as directed by the management committee as required. d) Provide advice to the committee in their management of the club finances. e) Lead the annual budget process an ensure an appropriate annual budget is provided to the committee for approval. f) Be a signatory on the club account g) Keep accurate record of all membership payments
Registrar - The role of the Club registrar is to supervise and be responsible for the proper registrations of all players within the club. This involves all elements of the registration process, including the conduct of sign-up days and the proper recording of individual details. The registrar is expected to have good planning and organisational skills and should be able to communicate with a wide range of people.
Duties of the club registrar involves; a) Plan registration days at commencement of season b) Collect all relevant information of prospective new players wishing to play for the club. and ensure returning players information is correct and up to date. c) Complete documentation for player as required by relevant associations. d) Ensure player clearances are actioned in a timely manner e) Keep the committee informed of the status of all registrations with the club and any issues that may arise. f) Consult with grading committee and executive management committee surrounding team grading nominations. g) Ensure the club complies with Privacy Acts and Regulations h) Maintain the club membership records and database d) Liaise with Association Registrars to ensure club obligations are completed e) Collect scorebooks at the end of each season from the respective team scorers.
Secretary - The role of the secretary is to be responsible for the effective management of the Club's records. The Secretary is also responsible for the taking down of the minutes for all meetings and distributing them to the committee.
a) Enable and authorise people to help with the Committee's business. This includes signing a copy of the final approved Minutes and ensuring that the signed copy is maintained. b) Ensure that the records of the Club are maintained as required by law and made available when required by authorised persons. These records may include founding documents, lists of Committee members, Committee meeting Minutes, financial reports, and other official records. c) The Secretary ensures that official records are maintained of members of the club & Committee. He/she ensures that these records are available when required for reports, elections, ballots, other votes, etc. d) Provide an up-to-date copy of the Constitution and By-laws at all meetings. (i) Ensure that proper notification is given of Committee and Club meetings as specified in the By-laws. (ii) Manage the general correspondence of the Committee except for such correspondence assigned to others. e) The Secretary may also be the nominated person to receive and file relevant Police Check records or Working with Children documentation.
Uniform officer - Uniform officer manages the club stock of uniforms & uniform numbers for storage. They must keep a running asset register to make sure everything is accounted for.
Purchased Uniforms: a)Players must purchase their uniforms outright through the Club at the appropriate cost as set by the management committee. b) Players are still required to maintain the uniform in a good condition in line with the clubs image. The management reserves the right, at any stage to ask the player/s concerned to either hire a club uniform or purchase a club uniform if considered not to be in the clubs image. c) In the event of players not returning to play their uniform shirt number will be recycled after a period of 5 years.
junior coordinator - The role of the junior coordinator is to promote and develop junior teams and players within the club and the participation of club teams in associated competitions. With the main objective to maximise the potential and enjoyment of the game.
The junior coordinator shall: a) Be an active member of the grading committee. b) Primary point of contact between the club and associations. c) Liaise with junior coaches to prepare and implement a training schedule. d) Organise skills development specialist training where possible, at club approval and provide best opportunity to develop skills. e) Provide all relevant information to coaches and managers to enable them to effectively manage their teams. f) Promote coach development where possible and at club approval. g) Assist coaches and managers when required, scheduling games changes, scratch matches etc, organise coach meetings to discuss teams, development, and coordination. h) Arrange team building among junior teams at club approval and to foster a sense of team spirit and responsibility of players. i) Ensure information is presented to the club for meetings, club releases, websites and newsletters is up to date and accurate. j) Attend association meetings and club committee meetings. k) Promote healthy lifestyles choices and encourage non-smoking and vaping
SEMSA, CSA & Dale Delegate - An association delegate for a softball club attends association meetings as the official representative of their club, sharing relevant updates and ensuring two-way communication between the association and the club. The association delegate ensures that the club’s interests are represented at the association level and that important association matters and actions are brought back to the club for discussion and implementation. The delegate shall: a) Attend all scheduled association meetings as the club’s representative. b) Present club views, concerns, and proposals at association meetings, and vote on behalf of the club if required. c) Take notes or minutes during meetings and promptly communicate all relevant information and decisions to the club committee and members. d) Maintain accurate records of meetings and any actions required from the club. 3) Channel feedback and decisions from the association back to the club, ensuring clear two-way communication. f) Stay informed about association rules, by-laws, and events, and distribute this information as needed within the club. g) Act in accordance with the club and association constitutions and uphold the standards and values of both bodies. h) attend club committee meetings on a monthly basis to keep the clear communication between the club and association.
Coach - The honorary Coaches shall a) Organise practice from the date of their appointment and instruct the players in all phases of the game. b) Attend all practices and official games of the team under their care c) Be responsible for the care and transport of equipment for practice and games and to seasons end upon which it will be returned to the care of the property officer. d) All prospective players must be directed through the registrar prior to acceptance into any team in the club. e) Fairest and best voting cannot by selected by a Player coach of the Team in which they are involved, (they forfeit their chance to vote towards Fairest and Best awards) f) All coaches with registered players under 18 years of age have a duty of care for the players at games and training sessions. g) No alcohol shall be consumed by Junior Coaches or managers whilst at a junior training session or junior game. h) Coaches and team manager are responsible for ensuring parents, caregivers and spectators are not consuming alcohol at either junior training or junior games, i) Junior coaches shall not smoke or vape in sight of players at training sessions or games. j) All junior coaches are to have a Government issued Working with CCheck at the clubs expenses. k) All coaches must submit their request to coach and assistant coach in writing to the committee.
Team Manager - Team Managers work to optimise the smooth running of training, games and extra activities for their team. Team Managers are responsible for the overall administration and management of the team. They also liaise between the team, coaching staff, parents/guardians and committee. Other responsibilities may include; a) Create and ensure implementation of team duties rosters b) Record and inform coaches of player absences c) Monitor team behaviour in dugout or bench during games d) Bring to the attention of coaches any inappropriate behaviour or any serious team rule breaches e) Ensure any players with serious medical concerns have adequate medication (example Ventolin and or EpiPen)
